Your Mission
The Office Manager ensures the smooth and efficient day-to-day operation of the BG Portugal office, providing administrative, logistical, and operational support. This role manages facility operations, supports senior management through executive assistance,  oversees health and safety compliance and contributes to event coordination and local initiatives.

 

•    Leads office management activities, including facilities management, vendor coordination, and ensuring an optimal workplace environment. Oversees facility management, including maintenance, utilities, and office layout optimization.
•    Acts as an executive assistant (approximately 10% of the time) by managing scheduling, travel arrangements, and other administrative tasks for senior management.
•    Manages health and safety compliance for the office, including developing and implementing health and safety plans, coordinating with external providers, and organizing audits and procedures.
•    Coordinates with IT and HR teams for employee onboarding/offboarding, ensuring tools and resources are ready and available (e.g. employee badges, merchandising, etc.) 
•    Organizes local events, including team-building activities, workshops, and external partner visits, to foster engagement and promote collaboration.
•    Develops and enforces office policies and procedures, ensuring compliance with local regulations and company standards
•    Monitors office budgets, tracks expenses, and manages procurement processes in line with company policies.
•    Supports employee experience initiatives by maintaining a positive and well-functioning office environment.
•    Acts as a liaison with other Beyond Gravity locations to facilitate smooth collaboration and communication. 

 

Your Story
•    Proven experience (4+ years) in office management, executive assistant, administrative roles, or similar responsibilities.
•    Knowledge of health and safety regulations and experience implementing workplace compliance plans.
•    Strong organizational and multitasking skills, with a proactive, solution-oriented approach.
•    Proficiency in MS Office Suite (Word, Excel, PowerPoint) and office management software/tools.
•    Strong written and verbal communication skills in English.
•    Ability to handle confidential information with discretion and professionalism.
•    Experience with event planning or coordination.
•    Familiarity with facility management processes and practices.
•    Fluency in additional languages, such as German,.
•    Bachelor’s degree in Business Administration, Management, or a related field.
•    Proactive and Detail-Oriented: Anticipates office needs and ensures tasks are completed accurately and efficiently.
•    Adaptable and Resilient: Handles changing priorities and environments with ease and professionalism.
•    Collaborative and Team-Oriented: Builds strong relationships across teams, fostering a supportive and productive work culture.
•    Effective Communicator: Ensures clear and concise communication with all levels of the organization.
•    Empathetic and Approachable: Acts as a trusted resource for health and safety concerns and employee well-being.
