Your Mission
Ensure the smooth delivery of P&C operational services by providing end-to-end HR administrative tasks and processes,
while continuously improving workflows to support the employees / the business.
• Responsible for accurate expenses management: validation and processing (Portugal and Switzerland), according to country specific internal policies and tool in place (Yokoy)
• Time and Attendance administration: monitor and ensure employees’ timesheets are accurately filled and produce and review monthly timesheet compliance reports (overtime, holidays, sickness, absences and working hours, etc.) (Portugal and Switzerland), according to internal country specific policies (tools in place)
• Overseeing, creating and maintaining up-to-date employee records and HR data archives, ensuring appropriate storage of employee documentation and files (contracts, letters, personal files, etc.) in the internal document management system (Aconso) and in HRIS (SAP SuccessFactors)
• Support administration throughout the entire employee lifecycle
• Supports the Payroll process and ensures precise salary data across systems, compiling monthly payroll inputs and information
• Supports Occupational Health by coordinating medical-admission appointments for employees liaising with external provider
• Supports benefits administration (enrollment, accurate and timely data exchange to external providers and employees)
• Support administration throughout the entire employee lifecycle
• Proactively take responsibility for the optimization of processes and improvement of operations workflows
• Act as point of contact for routine HR-Admin queries from employees and internal stakeholders, collaborating with P&C team to deliver seamless service
Your Story
• Minimum 2 years of relevant experience in HR Operations / Generalist roles (handling time and attendance, expenses or payroll)
• Hands-on experience with an HRIS (ideally SAP Success Factors) and MS Office (advanced excel)
• Methodical, detail-oriented attitude and high attention to detail, with proven ability to manage multiple deadlines
• Awareness of handling with strictly confidential personal data
• Familiar with Portuguese Labor Law and regulations
• Problem-solving and communication skills
• Fluency in English and Portuguese
• Ability to organize and prioritize work and complete tasks per deadlines
• Excellent communication and interpersonal skills interact with people from various countries, cultures, and all business levels
Nice to have’s
• Working experience in a global community with a complex matrix.
• Experience with HRIS SAP SuccessFactors
• Fluency in German
